5.1.1 Creating an appointment
Appointments in your BSCW calendar let you organize events of different types.
An appointment is described by at least a date and a name. You may provide
additional information on the appointment, e.g. a category, description and
location. Furthermore, appointments can manage a list of invited participants
with associated status (invited, accepted, declined). Finally appointments may
be used to manage events of synchronous cooperation.
You can create a new appointment using the icon
, using the menu

The appointment manages information about the details of the respective event
as additional properties. You may edit additional properties of an appointment
when creating it - use the [add additional properties] of the form 'Add
Appointment' and select the properties you want to edit. Alternatively you may
edit the appointment and add properties at a later time.
Possible properties are:
- Description: provide an additional description of the appointment.
- Location: indicate the physical location (if applicable) of the actual event.
- Participants: select prospective participants from the list of workspace
members or from your addressbook. You may also enter the email addresses
of additional people you want to invite to the appointment. Of course
they do not need to be registered on the server.
- Status: assign a predefined status for the appointment. Choose confirmed
if the appointment will take place, regardless whether individual
invitees may decline their attendance. If at a later time an appointment
is changed or cancelled for some reason, the status should be set
accordingly. If e.g. participants have already confirmed their
attendance and datetime has to be changed, you may want to reset the
participants' confirmation and set the status to tentative until you know
which participants accept the new time.
- Tools: select synchronous cooperation tools that should be used to
perform the actual event. The appointment object lets you initiate
virtual synchronous cooperation (e.g. via a computer conferencing
application over the Internet) by starting the appropriate program and
establishing connections.
- Mail notification: specify whether an email notification should be sent
to all particpants. The email will contain the vital information about
the appointment -- you may add a personal note to the automatic email.
